Schedule Time for Interruption
One of the most challenging situations people face when planning their day is how to stick to their schedule when they are constantly being interrupted. Just when your activities are organized, someone else's emergency seems to get in the way. A client has a crisis, co-workers are in a jam, your boss is breathing down your neck, a friend calls, or any of the dozens of other interruptions you face on any given day. The solution is extremely simple and equally powerful ~ Schedule Time for Interruption. That's right, just as you would schedule a meeting with a customer or event with your boss, scheduling a specific time in your day for interruptions is a technique that our students nationwide continually tell us is one of the most powerful time management tips they have ever used. How does this work? There are two components. First, as you are planning your day or week, allot a certain amount of time for the sole purpose of dealing with 'other people's emergencies.' What normally happens when someone calls or comes running into your office with something that they need your immediate help with? You drop whatever you are in the middle of and rush to their attention. Not only is their issue something that may not be of any importance to you, but I recently heard that it takes most people around 20 minutes to return to the level of focus they had before being interrupted. Wonder where those 'lost hours' go each day? Rebounding from all your interruptions! But we do not want to tell our clients, managers, and co-workers that we aren't there for them. Now you can have the best of both. You have a specific time predetermined in your day that you are available for 'scheduled interruptions.' Instead to denying the requests of others, you can simply plan a time that you will be able to help them. The second component is to stick to your schedule and communicate to others when you are available for them and when you are not. If this seems unrealistic or impractical, that is because you have never tried it! In the long run, your boss with be impressed that you are getting more done, you will have more quality time to prevent most of your clients' crises, and your coworkers will learn that you are not at their beck and call. A frequent question people ask is, "how much interruption time do I need to schedule and when should I schedule it?" That, of course, is going to vary from person to person, but as a general rule, I say as much as you need and when it is convenient for you. If you are the manager of a large group of people, you are going to have more people knocking on your door for help with their challenges than if you are just getting started with a company. Try out the amount you think will be adequate and you will quickly realize if it's the right amount for your needs. Most people find that right before or after lunch makes sense, as that is an easy breaking time in the middle of the day.

Time Management -- Urgent vs. Important "It's just been one of those days?I can't seem to get anything done! I've got way too many things on my "To-Do List". Oh the list started out innocently enough as a single handwritten column on one sheet of lined paper; but now it's grown to a three-column table in a spreadsheet software program! I get no satisfaction from checking off each item as I finish it. Not 1 in 10 people can tell you where money comes from, what it is and what it is good for, let alone how and why we get it.The most common error that most people make is to equate money with wealth. Are You Running Out of Time? Here's some time management tips to try:1) Set strict office hours and stick to them - use an answering machine to pick up calls after hours. Don't be tempted to "pick up just one more call". Organization Tips That Add More Hours To Your Day One of the most common complaints that small business owners have is lack of time. What most don't realize, however is that their lack of time stems from a lack of organization. Time is on Your Side - Manage it Wisely How do you manage your time? Or is the more appropriate question do you wish you had better time management skills? I have clients and friends who rely on everything from legal pads to brightly colored sticky notepads to manage their time and appointments - practically everything in their life. I don't understand why some folks place so little importance on something as important as time management! As a professional Virtual Assistant, I have numerous clients and tasks I must complete every day. How to Minimize Trips to the Grocery Store Still awaiting the birth of my baby (I am overdue), it is increasingly a challenge to go grocery shopping. Thank goodness I have wonderful friends and neighbors who offer to go for me. What Would Save You Time? We all get overwhelmed from time to time, and sometimes it seems as if 24 hours a day is just not enough to get everything accomplished that we would like. Let's consider this a brainstorming session. Do You Have The Time? Show me, O Lord, my life's end and the number of my days; let me know how fleeting is my life. Psalms 39:4. First Things Last Years ago clients would tell me they could not identify their priorities. Now I hear them saying 'I know what my priorities are?I just can't get to them'. Time Management: A Non-Renewable Resource Benjamin Franklin wrote: "If you want to enjoy one of the greatest luxuries in life, the luxury of having enough time, time to rest, time to think things through, time to get things done and know you have done them to the best of your ability, remember, there is only one way. Take enough time to think and plan things in the order of their importance. Sharpen The Saw Sometime ago, my lovely wife woke me up in the middle of the night and said, 'Dayo, you know what? Get More Done at Your Office: Focus on These Eight Areas for Increased Productivity Your productivity depends on good tools and effective environments, and on using them both well. It can be overwhelming to get your office into shape and still get your work done. Will Your Epilogue Be - I Got All My Emails Done? Work life balance is the new Holy Grail; that search for nirvana; the need to find peace and contentment, the desire to achieve that fine sense of equilibrium that we can be happy with. For some people that means not working at all but, for many it means being happy with the amount of hours they spend at and think about work and are equally happy about their none working hours; whether that be time spent with family and friends or time spent participating in sports, music or other hobbies or indeed just relaxing doing nothing in particular except just being! However, the achievement of this perfect balance seems to escape so many people and I believe that's because the important things and I mean the truly important things, get overtaken by the urgent stuff! Of course important to you may be different than important to me, but I bet neither of us would wish the sum total of our lives to be an accumulation of the achievement of stuff, trivia and emails! So many people say that vacation time is important yet they rarely take a vacation; so many people say their health and "keeping fit" is really important to them yet they rarely do any exercise and eat on the run most of the time; so many people say its really important to plan their time effectively yet they fire fight from day to day. Quantum-less Time and Mathemathically Deprived Theory What would you say to me if I told you that you don't have to be at work by 8 am, but rather that you have to be at work tomorrow? What if I told you that your alarm clock is going to be reconfigured to only display days, and not specific times?Would you sleep better?Or what if your clock card was to have days, not digits, on its' face? Would your concept of time be altered? If your meetings schedules were week specific, how would you feel?Would you abandon the man-made minute, if you could? You probably would, and with little reluctance and regret. The remaining seasons and their finite hours would still supply the exact same amount of time, but any approach to it would change. What To Do When Youre Short On Time And Long On Need! Everyday life can present us with opportunities to make us squirm. Countless numbers of tasks that we are juggling can cause dead lines to make that big swishing sound as they go flying by us. ![]() |
